Write a letter to your colleague asking for help in setting up the equipment for your presentation. In your letter, you should:

Dear Mr Watson,
I am writing to make a request for assisting me in setting up instruments for my presentation. Being inexperienced to address in front of seniors makes me a bit nervous.
Let me tell you that it is being organised in the Hall of Residence, which is on the ground floor of the company premises. Although the presentation will start at 10 in the morning, I need to be there around 8:30 a.m. It will last for two hours with a tea break at 11:15.
Furthermore, I would like to tell you that I have planned to use portable mics, overhead projector and handouts also will be given to the listeners at the end of the presentation. I have also arranged power backup in case of a power outage.
Besides, would you suggest to me what other equipment I may have a need? I want to make it the best. If you consider any equipment that I have above mentioned is unnecessary, let me know. I know you have a dab hand in giving a presentation. Therefore your company and solution will make it successful.
